How to Compare Quotes From South African Service Providers
Getting three quotes is standard advice for any job larger than a tap washer. What nobody explains is how to read them once they arrive, because three quotes for the same job routinely differ by a factor of two, and the cheapest one is not automatically the bad one.
Get the same job priced, not three different jobs
The most common reason quotes are not comparable is that each contractor scoped the work differently. One assumed you were supplying materials. One included making good afterwards. One quoted the symptom rather than the cause.
The fix is to write the brief once and send the same words to everyone. A usable brief states:
- What the problem is, in plain language, and how long it has been happening.
- The property type and the access situation, including the floor if it is not ground level.
- Who supplies materials.
- Whether making good after the work is included.
- When you need it done.
Photographs do more than paragraphs here. A photograph of the actual meter box, geyser or damaged section removes most of the guesswork that inflates a cautious quote.
What a quote must contain to be comparable
Insist on the same line items from everyone:
- Labour and materials split out. A single total tells you nothing about where the money goes or what changes if you supply materials yourself.
- VAT stated explicitly. A VAT-registered business quoting excluding VAT is 15 percent more expensive than it first appears. This alone explains a large share of the gaps between quotes.
- The call-out fee, and whether it is deducted if you proceed.
- What happens if the job turns out bigger than expected. An hourly rate for additional work is fine. Silence is not.
- The guarantee, in writing, with its period.
- A validity period. Material prices move, and a quote with no expiry is not a commitment.
Checks worth doing before you accept
Price is the last thing to compare, not the first. Before that:
- Confirm the trading name matches. The name on the quote, the name on the invoice and the name on the bank account should be the same entity. Where they differ, ask why before paying anything.
- Check registration where the trade requires it. Several South African trades operate under mandatory registration or certification. Plumbers issuing a Certificate of Compliance, electricians issuing an electrical CoC, and gas installers all fall into this category. Ask for the registration number and check it with the relevant body rather than accepting a logo on a quote.
- Ask for two recent references in your area and actually phone one. Ask what went wrong and how it was handled, not whether they were happy. Every job has a snag. How it was fixed is the useful information.
- Confirm insurance for anything structural, electrical, or at height.
Deposits
A deposit for materials on a large job is normal. A deposit that covers most of the job before anything happens is not. Tie payments to stages that you can see completed, and keep a meaningful final payment until the work is signed off and any certificate has been handed over.
Pay by transfer to a business account. Cash removes your record of payment at exactly the moment you might need it.
When the cheapest quote is the right one
Sometimes it genuinely is. A sole operator with low overheads can be cheaper than a larger firm for the same quality of work. What matters is why it is cheaper. Lower overheads is a good reason. Excluded VAT, excluded materials, excluded making good, no guarantee and no registration is not a lower price. It is a different job.

Watch for the quote that is too specific too early
A fixed price given over the phone, sight unseen, for a problem nobody has inspected, is a number designed to win the booking rather than describe the work. Expect it to change once someone is on site. A provider who says they need to look first is giving you a more honest answer, not a slower one.
Getting the quotes
You can request quotes from several relevant South African businesses at once through the ULC quote request form. Describe the job once, and it goes to businesses listed in the right category and area.
You can also work the other way and approach providers directly from the ULC directory, where each listing carries contact details, services, location and, where the business has provided them, opening hours and a link to its Google Business Profile.
