Design Proposal Coordinator
Location: Johannesburg
Type: Full-time, in-office
Reports to: Management and Associates
About the role
Nico van der Meulen Architects is looking for a highly organised, design-sensitive Design Proposal Coordinator to support the front-end of our architectural studio. This role sits between Management, the Associates and the design team. The purpose of the role is to help coordinate enquiries, proposals, client information, CRM tracking, meeting preparation and follow-up communication, while ensuring that all key items are reviewed and approved by Management or the relevant Associate before being issued.
This is not a general admin or procurement role. It is a focused coordination role for someone who enjoys structure, communication, design-led environments and the process of helping a studio convert the right opportunities into well-prepared architectural appointments.
Key responsibilities
Enquiry and client intake coordination: Receive and record new project enquiries. Ensure enquiry information is complete and correctly filed. Coordinate lead capture forms and project information. Prepare enquiry summaries for Management and Associates. Assist with qualifying enquiries before senior design time is committed. Track where each enquiry sits in the process.
CRM and pipeline management: Maintain and update the Customer Relationship Management system. Track enquiry status, proposal status and follow-up dates. Monitor proposal due dates and client response timelines. Flag overdue follow-ups to Management. Prepare weekly pipeline summaries.
Proposal coordination: Prepare first-draft proposals from approved studio templates. Gather and organise project-specific information. Coordinate portfolio images, case studies and supporting material. Maintain proposal version control. Ensure all proposals are reviewed and approved by Management or the relevant Associate before issue.
Meeting preparation and follow-up: Schedule and confirm client meetings. Prepare meeting packs and background summaries.
